Verifying contractor documentation before work commences

Posted

Builders are reminded of the importance of confirming that all subcontractors and contractors engaged on site hold the appropriate documentation before commencing work. Ensuring the correct records are obtained and retained is a key part of managing site safety, meeting regulatory obligations, and reducing risk to your business.

At a minimum, builders should request and keep copies of relevant competency and compliance documentation for any contractor engaged on their projects. Depending on the nature of the work being performed, this may include:

Training and competency records, such as:

Insurance documentation, including:

  • Public liability insurance certificates of currency
  • Workers compensation coverage (where applicable)
  • Professional indemnity insurance for design-related services where relevant

Business registration details, such as:

Maintaining a current register of contractor documentation is considered good practice and may be requested during audits, investigations, or incident reviews. It also assists builders in demonstrating that appropriate due diligence has been undertaken when engaging subcontractors.

Members may wish to implement a simple contractor pre-qualification or onboarding checklist to ensure documentation is verified prior to contractors commencing work on site.

As always, builders should ensure they are familiar with their obligations under applicable work health and safety legislation, licensing requirements, and site safety management plans.
